We are looking for an experienced Office Manager, to ensure not only that our environment runs smoothly every day, but also that it scales gracefully as our community grows. It is a Human-Centered role at the heart of our Community and its growth.

This role sits at the intersection of:

You will design processes that are not only functional for today but capable of supporting a larger organization tomorrow. You will help transform everyday activities into scalable routines, enabling the campus and its people to operate with more clarity, more impact, and less friction over time.

You’ll be the person who creates the conditions for others to do their best work - combining warmth and empathy with structure, foresight, and continuous improvement.

This role reports to and collaborates with the People Tower and supervises a Junior Office Assistant and Facility Manager. 

Responsibilities

Community & Wellbeing

  • Serve as the daily point of reference for residents, employees, and guests.
  • Foster psychological safety and a sense of belonging through presence, empathy, and active listening.
  • Ensure a welcoming and inclusive atmosphere throughout campus.

Campus Operations

  • Oversee day-to-day operations across all spaces with attention to comfort, order, and human-centered design.
  • Coordinate maintenance, supplier management, access control, and safety protocols.
  • Build repeatable processes that make the campus run more efficiently as we scale.

Scalability & Operational Excellence

  • Identify recurring challenges and transform them into structured, scalable solutions.
  • Standardize procedures for room bookings /travel logistics, onboarding logistics, event setup, vendor workflows, and space planning.
  • Improve workflows to reduce manual work, increase clarity, and support future growth.

Team Leadership

  • Mentor and supervise the Junior Office Assistant and Facility Manager with clarity, care, and a focus on skill growth.
  • Delegate effectively and create scalable routines that strengthen team performance.

Events & Experience

  • Coordinate logistics for workshops, training sessions, founder events, and community activities.
  • Help create memorable moments that build connection and reinforce culture.

Onboarding & Integration

  • Ensure smooth onboarding logistics for new hires, entrepreneurs, and program participants.
  • Create a scalable onboarding experience that remains personal and supportive even as numbers grow.

Administration & Cross-Functional Coordination

  • Manage vendor relationships and office budgets with responsibility and transparency.
  • Collaborate with Finance, HR/People, IT, and external partners to ensure alignment and operational consistency.
  • Oversee desk allocation, room coordination, and hybrid work logistics using systems that can grow with the company.

Culture Keeper

  • Ensure campus spaces reflect Translated’s values — warm, inclusive, inspiring.
  • Work with the People Tower to enhance wellbeing, employee experience, and community life.
  • Act as a steady steward of our cultural DNA: we believe in humans.

Requirements

  • 3-7 years of experience in office management, hospitality, facilities, or community-focused operations.
  • Strong interpersonal skills and emotional intelligence.
  • Demonstrated ability to design scalable processes and improve operational workflows.
  • Excellent organizational, coordination, and prioritization skills.
  • Strong communication in Italian and English (C1).
  • Ability to manage budgets, vendors, and cross-functional relationships.
  • A genuine passion for supporting people and creating environments where teams can thrive.
